RPL Document Requirements & Upload Guide

Documentation requirements will be communicated after your application has been submitted and reviewed by the RPL team. Requirements may vary based on your educational background, training, and the type of credit being assessed.

Supporting Documents

Depending on your application, you may be asked to provide one or more of the following:

Official Transcript(s)– is the formally issued record of your academic history from your prior educational institution. It typically includes courses taken, grades earned, credits completed, academic standing, and any credentials awarded.

Professional Translation(s) – (if documents are not in English) is an accurate and complete rendering of a document from one language to another by a qualified translator. It preserves the original meaning, tone, and intent while ensuring the translated content is clear and suitable for its intended use. The professional translation must include a statement of certification or stamp applied by the translator. Translations must include both the English translation and the original language document.

Credential evaluation(s) - is a credential evaluation report that compares your academic qualifications to the standards at ½ûÂþÌìÌÃ. It helps us better understand the value of the education you received. These are completed by specialized credential evaluation organizations (e.g., WES, ICAS, IQAS, CES).

Detailed Course Outline(s) – is a critical document used to evaluate whether your prior learning meets ½ûÂþÌìÌà RPL requirements. A course outline or course syllabus is created by the post-secondary institution and provides complete information about what you learned and how you were assessed in a course.

The course outline must include the same course code as that noted on your official transcript. A detailed course outline should include:

  • Learning outcomes and/or competencies
  • Topics or content covered
  • Lecture/lab hours
  • Methods of assessment (e.g., exams, assignments, projects)
  • Learning activities (e.g., lectures, labs, group work)
  • Textbooks and required materials

This information is used to determine whether the course aligns with at least 80% of the course competencies required for the corresponding ½ûÂþÌìÌà course and whether it offers an equivalent focus and depth of learning. Insufficient course outlines or course outlines lacking in detail may be rejected.

RPL Equivalency Portfolio - If your application includes non-formal or informal learning (or a combination of learning types), you must complete an RPL Equivalency (EQ) Portfolio for each ½ûÂþÌìÌà course you are requesting credit for. For more information, visit the RPL Equivalency Portfolio page.

Other supporting documentation - You may be asked to provide further supporting documents to assist in the RPL assessment process.

Authenticity and Verification

All documents submitted in support of an RPL application must be authentic and verifiable. The RPL Office reserves the right to request additional documentation to confirm the authenticity of any materials submitted.

Academic Integrity at ½ûÂþÌìÌÃ

Submitting falsified or altered documents is considered a serious violation of the college’s Academic Integrity Policy. If fraudulent documents are identified:

  • Your application may be denied
  • Previous applications may be reviewed
  • Future RPL requests may not be accepted

For important information on ½ûÂþÌìÌÃ’s Academic Integrity Policy and to review other RPL-related policies, visit Recognition of Prior Learning Policies

Additional Documentation/Verification of Documents

The RPL Office may request:

  • additional documentation (such as formal credential evaluations) to verify the authenticity of submitted materials.
  • verification of documentation from sending institutions including post-secondary institutions and professional translation services.
Preparing Your Documents for Upload

Before uploading documents in your Student Self-Service, please review the following guidelines:

File Preparation

  • Save each required document as a single file.
Example: A 10-page course outline must be saved as one PDF file. Multiple separate pages or screenshots for a single document will not be accepted.
  • Do not copy and paste content into a new document.
If your document has multiple pages, you must either:
    • Download and save the original as one PDF, or
    • Scan all pages and save them together as one PDF file.
  • Include all pages of your documents.
Do not submit partial documents. For transcripts or course outlines, include every page - even if some pages seem less relevant.
  • Scan both sides when applicable.
If your transcript or document contains information on both sides, ensure both sides are included in the file.

Translations

For documents requiring translation, combine both the original document and the professional translation into a single file.

File Naming

  • Use clear and specific file names that identify the document type.
    Examples:
    • UNB_Transcript.pdf
    • BIOL1005_Course_Outline.pdf
    • Econ_2_translation.pdf
  • If the RPL team has requested specific documents, please be sure to copy and paste the file names suggested by them

Accepted File Types

The RPL portal accepts the following file formats up to a maximum file size of 6MB:

  • PDF
  • BMP
