Pre-Approval Application Guide

When to Apply for Pre-Approval

Use the pre-approval application if:

  • You did not successfully complete a ½ûÂþÌìÌà course required for graduation, and
  • You need to take an equivalent course at ½ûÂþÌìÌà or another institution to graduate.

IMPORTANT: You must get pre-approval and a Letter of Permission before enrolling in the requested course.

NOTE:  You do not need to apply for pre-approval if the ½ûÂþÌìÌà course you want to take has the same course code as the required course you are missing.

Step 1: Check Eligibility

You are eligible to apply for pre-approval if you:

  • Are actively enrolled in your program
  • Are in good financial standing
  • Did not successfully complete a required course and cannot retake it in a timely manner
  • Have completed (or are completing) all prerequisites leading up to the required course you are missing
Step 2: Meet with your Coordinating Instructor (or other ½ûÂþÌìÌà Academic advisor)

Before applying for pre-approval it is important to get academic advising and ensure you are still on track to meet graduation requirements. Your Coordinating Instructor (or other ½ûÂþÌìÌà Academic advisor) can:

  • confirm you are requesting pre-approval for the correct ½ûÂþÌìÌà course
  • determine if they are aware of any ½ûÂþÌìÌà or non-½ûÂþÌìÌà courses which are equivalent to the course you are seeking pre-approval for
  • assist in mapping a plan for timely completion of your program
  • help you identify a potential course for pre-approval
Step 3: Identify a Course for Pre-Approval

Review the Evaluated Courses Master List (ECML) to see if any ½ûÂþÌìÌà or non-½ûÂþÌìÌà courses have previously been approved for credit toward the required course.

If no approved equivalent courses are listed on the ECML, you will need to research, identify, and propose potential options for consideration.

For courses not listed on the ECML:

  • For non-½ûÂþÌìÌà courses you must provide a current, detailed outline or syllabus for the course being requested for pre-approval
  • The course must be a credit-course offered by a recognized post-secondary institution
  • Outline(s) are not required for ½ûÂþÌìÌà courses
IMPORTANT: Even if a course is approved on the ECML, you must still apply for pre-approval.
Step 4: Your Application for Pre-Approval

Ready to apply? Submit your application for pre-approval through ½ûÂþÌìÌÃ's Service Desk. Note: Submit a separate pre-approval application for each required course.

All communication regarding your pre-approval application will be through your Service Desk ticket. You are responsible for monitoring your ticket and responding to any requests for additional information in a timely manner. To access your application history through Service Desk:

  • Visit the
  • Select “Click here to log in” using your ½ûÂþÌìÌà credentials to access your personal Service Desk History
  • Scroll to the bottom to view your Open tickets

After submission:

  • A member of the RPL team will review your application within 3-5 business days and notify you of any required documents (ie. detailed course outlines).
  • If your application is approved, a Letter of Permission will be uploaded in your Student Self-Service. This means you can enrol in the requested course. View instructions for accessing documents in Student Self-Service (pdf).
  • If your application is denied, you may apply for pre-approval again with a different course.

Important Reminders

  • Always apply for pre-approval before enrolling in a course or paying tuition.
  • A Letter of Permission must be issued before enrolling in a course or paying tuition.
Step 5: Provide Proof of Completion

After successfully completing the course:

  • Notify the RPL team through your original pre-approval ticket (or by emailing rpl@nbcc.ca) that you have completed the approved course
  • If the approved course was a non-½ûÂþÌìÌà course, request an official transcript and have it sent to rpl@nbcc.ca or upload a copy of the official transcript to your original pre-approval ticket

NOTE: A minimum grade of 60% must be achieved in the pre-approved course.


Final Step

Once all conditions for pre-approval are met:

  • Your ½ûÂþÌìÌà transcript will be updated by the RPL team
  • Your Academic Chair will be notified
